Terms & Conditions

We would like everyone who visits to have a relaxing time, therefore we have put a few rules and T&Cs in place. Please have a read through before your visit.

TERMS & CONDITIONS:

Please ensure you read the following terms and conditions carefully before completing your booking with Llandyfan Camping.

Booking:

For our campsite, you will be required to pay your full balance 7 days before you arrive (or at the time of booking if this is within 7 days of your arrival).

For our fishing lake, no prebooking required. The swims cannot be reserved and are on a first come first serve basis. Please call ahead of arrival to check availability.

If you cannot visit due to you, or someone in your party, becoming ill, we ask that you postpone your booking and transfer the non-refundable deposit to a later in the season or the following year.

Please book in advance via email or WhatsApp to avoid disappointment, particularly during school holidays or bank holidays. At the time of booking full contact details are required and a deposit payment must be received in full by credit/debit card or cash. By booking you give permission for your contact details to be retained on our computer system.

A maximum group booking of 2 pitches is permitted (although exceptions may be made for Duke of Edinburgh bookings or similar, please email info@llandyfancamping.com to inquire about group bookings). We do not accept large single-sex groups (stag or hen parties) or bookings made by anyone under the age of 18. We will endeavour to accommodate clients that are booked in as a group in adjoining pitches on the campsite but we must emphasise that we cannot guarantee it and it is not always possible, particularly when bookings are for bank holidays or during school holidays.

Cancellations or changes requested by the customer:

All deposits are non-refundable. A minimum of 7 days written notice via email or WhatsApp, in advance of arrival date will be required from anyone wishing to cancel their booking. If more than 7 days notice is given, the booking may be re-arranged to another available date within 12 months of the original arrival date. Cancellations within 7 days of customer’s arrival date will not be transferable. If you cancel your booking after the full balance has been paid we shall retain your deposit and refund the balance to you (if it is over £20) – provided we have received your cancellation by email, text message or WhatsApp message at least 7 days prior to arrival. Please note that the deposit might represent the full fee for your stay. Refunds cannot be made for any amendments made to the booking on arrival or during your stay.

You should notify us of any amendments to your confirmed booking by telephone or in writing (by email to info@llandyfancamping.com or WhatsApp 07398 089685) as soon as possible. Amendments are subject to availability and our cancellation policy (see above).

Your camping balance is due 7 days prior to arrival (14 days prior to arrival for glamping accommodation bookings). Failure to pay a deposit at least 7 days prior to arrival will result in termination the booking and it will be cancelled. We do not issue cancellation notices in such cases. A further booking and deposit will be required should you wish to re-book. Failure to pay your camping balance at least 5 days prior to arrival, or 7 days prior to arrival for glamping will result in your booking being cancelled. We will notify you of this cancellation via email. If you book within 7 days of your arrival date, the full balance of your camping stay must be paid upon booking.

Failure to arrive without prior notification within our Cancellation Policy (above) will receive no transfer or refund. If a pitch has been booked for more than one night and if no notification is given resulting in the pitch failing to be occupied by 6.00pm on the day following the day of expected arrival, we reserve the right to re-let the pitch with payment forfeited.

Our fishing memberships cannot be cancelled or transferred once purchased.

Cancellations or changes made by Llandyfan Camping:

In the unlikely event that the campsite is unable to accommodate a confirmed reservation it may be necessary to offer an alternative of an equal or a superior standard. If at any time we need to make changes that will significantly affect your stay or we need to cancel your stay, we will tell you as soon as possible, offering a suitable alternative or a refund. This does not apply to minor changes or events during your stay, resulting from unusual or unforeseeable circumstances beyond our control.

We cannot be held responsible for cancelling your booking as a result of your failure to comply with any requirement of our Booking Terms & Conditions, and we cannot be held liable for any expenses, costs or losses incurred by you as a result of any change or cancellation.

If a guest or a member of your party behaves in a way that causes or is likely to cause danger, upset or distress to a third party, or to campsite or guest property, we are entitled, without prior notice, to curtail the stay and request that the person(s) concerned leave the campsite. No refunds or return travel arrangements will be made and we will not pay any expenses or costs incurred as a result of such a curtailment.

Extended Stays:

Extensions can be arranged, subject to availability and possible relocation, although there is no guarantee that pitches can be extended beyond the date booked. If you wish to extend your stay, please check with reception as soon as possible once you arrive.

Bank Holidays:

A minimum stay of 3 nights over bank holidays is required. If this creates any specific difficulties, please email us as soon as possible at info@llandyfancamping.com.

Seasonal Pitches:

Once you have been allocated your pitch, it is your responsibility to maintain it and to keep it tidy and in-keeping with the campsite. You must get prior permission to install any fencing, awnings or other larger property. In these cases a deposit is required before installation, which will be refunded once you have vacated the pitch and have returned it to its original state.

Arrival / Departures:

Your arrival is welcome from 1pm onwards (3pm onwards for glamping pods or cabin), your pitch may not be available if you arrive early. On arrival, please check our arrivals board for your pitch location then report to reception where you will be asked to confirm your booking details and pay any additional fees that might apply (for example if you have brought more than one car, a fee will apply).

We are on site most of the time and the Reception is guaranteed to be open from 9am-11am and 6pm-7pm on weekdays, or 9am-11am and 5pm-7pm on Friday, Saturday and Sunday). If reception is not open when you arrive, please come back to reception at the next opening time.

Only persons declared in the original booking can be guaranteed to be accommodated. Except by prior arrangement as we may not have space to accommodate additional guests.

All pitches must be vacated by 11am of the day of departure unless by prior agreement. Late check outs may be possible, but you must confirm this with Reception on the morning of departure. Departure after 12 noon unless by prior agreement will incur a late departure fee. No refunds can be given for departing nights early.

Customers will be informed of their pitch number on arrival, in reception, or by referring to our arrivals board. The pitch is allocated according to the specified requirements made at the time of booking and is determined by a computerised booking system. Whilst every effort will be made to meet specific requirements for a particular pitch, no guarantee can be given.

Before pitching please ensure you have checked your pitch number, as specified on our arrivals board, to avoid being asked to move. We may, on occasions, have to move previously allocated pitches in order to make the best use of the pitches available. In these circumstances, if the pitch allocation is unacceptable to you, then we will refund all monies paid provided the information you provided upon booking was accurate (e.g. length of your vehicle). Our liability will not extend beyond this refund.

Our fishing lake is open Monday–Sunday, 7am to 8pm April to October / 8am to dusk November to March. We are closed 23rd December to 3rd January.

The lake may sometimes be closed on other occasions, therefore to avoid disappointment please telephone us to check before arriving.

Awnings:

A number of our pitches can accommodate awnings, but if you have not stated on the booking form that you require an awning, you may not be able to fit one on the pitch we allocate you. Therefore, please ensure you have contacted us via email at info@llandyfan.com if you did not state this on your booking form but require an awning, so we can ensure you have a suitable pitch. Llandyfan Camping can not be held responsible or issue refunds if you are booked on an unsuitable pitch and unable to erect your awning if we have not been notified of the awning at least a week prior to your arrival.

Pitch size:

Llandyfan Camping’s pitches vary in size, therefore if you are bringing a large tent or motorhome/caravan (over 5m) you must notify us at the time of booking so we can allocate you an appropriate pitch (there is a text box on the booking form to provide us with your tent or camping vehicle dimensions). Llandyfan Camping can not be held responsible or issue refunds if you are booked on an unsuitable pitch (and unable to fit your tent or vehicle) if we have not been notified of the it’s at least a week prior to your arrival.

Pitches are limited to an additional ‘pop-up’ tent or small gazebo. These must be no larger than a two-man tent or a Gazebo of 2m x 2m and no more than one per pitch (there is a small charge for this). You must notify us if you are bringing an additional ‘pop-up’ tent or gazebo so we can allocate you a suitable pitch.

Vehicles:

Only one car is guaranteed a space alongside each pitch and please note that during adverse weather conditions we might ask you to relocate all cars to an alternative parking area. Extra vehicles or will be accommodated where possible but at a small charge. Commercial vehicles are only permitted on site at the complete discretion of the park owners.

Please be aware that there may be children playing on the campsite so a strict speed limit of 5 miles per hour should be adhered to at all times.

For our fishing lake, parking if free for paying customers and cars are to be parked in the car park at the entrance, they are not permitted in the campsite or around the lake.

Fires / BBQ’s:

Open camp fires are not permitted on the campsite under any circumstances. Free standing BBQ’s and fire pits are allowed but MUST be off the ground at least 50cm and at least 5m away from any tents or structures. Disposable BBQ’s can be used with appropriate stands but must not be placed directly on the grass or any of the park benches/tables. Please request bricks/blocks from reception to put your disposable BBQ or fire pit on if you do not have a stand.

No Fireworks to be set off on any part of the site.

By booking with us, you are agreeing to these Terms and Conditions you agree to read our document ‘BBQ and Fire pit Safety on the Campsite’ which will be emailed to you attached to our pre-arrival email. This document will be sent out 5 days before you arrive or at the time of booking if this is within 5 days of your arrival.

The following Terms and Conditions also apply to BBQs and Fire pits that you bring on site:

* Site the fire pit or BBQ away from overhanging branches.

* Clear a metre area around the pit or BBQ removing anything that could catch fire.

* Once lit, the fire pit spark and embers shield should be placed in position.

* Stack extra wood or coals upwind and away from the fire.

* After lighting, throw the match into the fire.

* Never leave the fire pit or BBQ unattended; an adult should supervise the pit or BBQ at all times.

* Keep a bucket of water nearby (6L required).

* Never put anything but wood or charcoals into the fire.

For our fishing lake, no fire pits or barbecues around the lake unless with managements permission.

Noise:

Please consider your neighbours and keep noise to a minimum after 11pm and before 8am in the morning.

We will not tolerate unacceptable levels of noise that disturbs others. In the event of any unacceptable behaviour we reserve the right to ask you to leave the park. No loud music is to be played at any time. This applies to the fishing lake too.

Electric Hookups:

Once available, the majority of the electric hook-up points at Llandyfan Camping at 750 watts. You must bring a suitable cable for outdoor hook-up points which has been tested for safety prior to your arrival. Our new hookup points require you to turn a switch on once you plug in your cable, then turn the switch off before you unplug your cable.

One of our tent pitches has a 750 watts hook up point. We recommend you book to avoid disappointment and we will notify you if it is available when we confirm your booking. You agree to only use one appliance at a time while using a hook-up point.

Electric kettles not permitted, gas only.

Generators:

Use of your own generators is not permitted at any time.

Children:

Children must be supervised at all times around the campsite and can play within the pitch space allocated to you. At quiet times, it may be possible for children to use vacant pitches for play but this cannot be guaranteed. The amenity block and associated facilities are not to be used as a play area.

Children are not allowed to play in the fishing lake area.

Behaviour:

The person making the booking is responsible for the conduct of their party. Customers on the Park must comply with our general terms & conditions for their own and others safety. Failure to do so may result in eviction from the park with no refund. Llandyfan Camping reserves the right to refuse access to customers who have previously breached Campsite rules, have been asked to vacate the Campsite, are using caravans for residential or employment purposes or who have previously been refused access to the Campsite.

Management reserve the right to refuse admission or evict anyone breaking the rules, causing a disturbance, drunkenness or damage. In this instance no refunds will be given.

If you or a member of your party tampers with, causes damage or sets off a fire extinguisher without appropriate reason, a charge of £80.00 per fire extinguisher will be charged.

Alcohol: please drink responsibility.

Drugs are not permitted on site and if you are in breach of this rule, you will be asked to leave. In these instances, no refunds will be given.

Dogs:

The person making the booking is responsible for their dog/s. Dogs are to be kept on leads at all time whilst on the campsite.

Dogs are not to be left unattended.

You must clear up after your dog and use the bins around the campsite. If children take your dog/s for a walk, they must be supervised by an appropriate adult.

Measures must be taken by owners to prevent their dogs from recurrent barking.

Management reserve the right to refuse admission or evict a party if they are unable to keep their dog under control.

If you your dog injures or kills a chicken, a charge of £70.00 per chicken harmed will be charged.

To avoid disappointment you should check the seasonal and/or daily opening times of any tourist attractions prior to travelling to the campsite or the attraction concerned.

We endeavour to ensure the information contained within this website is as accurate as possible, but there will inevitably be instances where information may be incorrect or out of date. It is always advisable to check specific details that may be relevant to your booking prior to making that booking. For example, information relating to local attractions is intended for your general information and any changes to such attractions or facilities are beyond our control. We reserve the right to amend or remove information at any time and do not accept responsibility for keeping copies of any amended or deleted information.

Llandyfan Camping cannot be held responsible for the accuracy, content, or availability of information about the campsite or our organisation that may be found on third party websites.

Fishing lake specific rules:

No barbed hooks or braided mainline. Carp hooks to be minimum size 6.

No fixed leads.

You must unhook with a cradle (not landing mat).

Carp care antiseptic to be used for treating any damage to fish (mouth, body, fins).

All fish must be landed with the aid of a net (minimum 36 inches).

Nets must be dipped including stink bags on arrival in the buckets on site.

Every fish must be treated with care. Try and unhook in the water/net wherever possible and then returned quickly and gently to the lake using a landing net. When on the bank the fish must be on a suitable mat or cradle for unhooking/pictures. Do not hold or carry a fish above knee height as dropping a fish can damage it.

Two rods maximum to be used at one time.

Rods must not be left unattended (you may lose your rod and we may lose a fish).

Rod alarms to be set to low volume (if being used).

Fishing must only be from the available swims.

Keep nets are only allowed in matches or with managements permission. (Please ask management if you want to use one)

No fires or barbecues around the lake unless with managements permission.

Cars to be parked in the carpark at the entrance, they are not permitted around the lake.

Please take your litter home with you and check you haven’t left anything behind, repeat offenders to this rule will be banned.

All anglers fish at their own risk.

All anglers much carry a valid Rod Licence.

All children under the age of sixteen must be accompanied by a paying adult.

Staff will be around and may request to check your equipment for safety and rule compliance. Upon request you are required to reel in for the check.

Liability:

Anyone found defacing or causing damage to any building, equipment or property of the Campsite faces immediate eviction and/or prosecution. The person who booked the pitch will be responsible for and charged for any damage/breakages/loss caused by themselves or their visitors to the pitch or to any Park facilities or to other customers’ property. Your vehicles and their contents and accessories are left at your own risk. Llandyfan Camping or its staff/associates shall not be liable for the loss, theft or damage of any property whilst they remain on the Campsite nor for any injury, accident or mishap to any person in the campsite. Customers must ensure that their property is secure and fully insured for any unforeseen eventuality. All caravans, tents and vehicles parked, stored or moved around on and around the site are parked, stored or moved entirely at the owners’ risk. The company accepts no liability for loss or damage to property, or injury to the owner and his/her party, howsoever caused.

Insurance:

It is your responsibility to ensure that any insurance cover you have provides adequate cover for your needs and to cover you against any injury or damage your vehicle could cause to third-parties or third-party property and for the duration of your stay. We do not offer cancellation insurance.

Medical conditions:

If you or any member of your party has a medical problem or disability which may affect your stay, please advise us so that we can make provision for the particular needs of the person(s) concerned, or advise you if we are unable to make such provision. If details are not provided to us at the time of booking, the campsite reserves the right as a last resort to cancel the booking should it be unable to make appropriate provision for a specific need or needs.

We offer toilet and shower facilities for those with disabilities, but please note that such facilities are also available to those with small children and for baby changing so we cannot guarantee they will always be immediately available and you may encounter a short wait to use these facilities.

Circumstances beyond our control:

We cannot accept responsibility for unforeseen circumstances beyond our control. These include (but are not limited to) a national epidemic, global pandemic, adverse weather conditions, fire, riot, war, terrorist activity (or threat of such activity), industrial dispute, natural disaster, or injuries and death of an individual(s) through accidental circumstances unconnected with the campsite.

By making a booking you are accepting responsibility for any damage or loss caused by yourself or a member of your party. Full payment for any such damage or loss must be paid to the campsite owner or manager on demand. If you fail to do so, you will be responsible for meeting any claims subsequently made (together with our own and the other party’s full legal costs) as a result of your actions.

Complaints:

If you are dissatisfied with any aspect of your stay you should bring the problem or issue to the attention of the owners of the campsite as soon as possible so that all reasonable efforts can be made to rectify the situation. If for any reason the issue cannot be resolved to your satisfaction you should put it in writing. Any complaints arising out of your stay at the campsite that are not brought to the attention of the campsite during your stay are less likely to receive the same level of attention if made retrospectively.

Complaints brought to our attention will normally receive a response within 7 working days.

Data Protection:

All the information taken at the time of booking is collected for the purpose of processing your booking at Llandyfan Camping. As part of our on-going monitoring and promotion of the campsite we may email you of late availability, future events or developments on the campsite. If you do not wish to receive any communication from Llandyfan Camping, please email us at info@llandyfancamping.com.

We do not send unsolicited email communications and we do not sell, exchange or trade email addresses to or with third parties.

Waiting Lists:

For fully booked dates, customers can email us at info@llandyfancamping.com, and can be added to a waiting list. Any vacancies will be notified by telephone, with pitches allocated to the first paying respondent.

Online bookings/payment:

In order to guarantee your reservation you will need to provide us with specific personal details relating to that reservation. Your details will be used only for the purpose of handling that reservation.

When making a reservation you will be transferred to a secure server in order to provide credit or debit card information. Any information you provide while you are within this secure environment is encrypted and cannot be read by a third party.

When you make a reservation we will use your email address for the purpose of fulfilling that booking. This will include sending you an email to confirm your reservation and may include additional communication should we need to contact you regarding specific requirements or a cancellation. If you choose to opt-in to our mailing list during the booking process, then we will store the contact details that you have provided so that we may fulfill your request for future communication.

All bookings made via our website must pay a deposit with a credit or debit card through Stripe.

All payments are taken via a secure gateway. We will never keep a record (either on-line or as a hard copy) of your credit card numbers. We will keep a record of your contact details.

All prices are quoted in £/GBP and include tax (VAT) at the current rate (20%).
